About the team
Our West Malling office is dedicated to two services: Rates Payment Management Service (RPMS) and Property Management Finance (PMF):
RPMS brings together our expertise in rating surveying, ICT and rates accounting to introduce financial discipline, efficiency and liquidity to the payment of our clients’ rates bills. The team is responsible for processing annual rates liabilities of more than £1 billion on behalf businesses including: BP, Boots, ITV, Costa, the Spirit Group, Surrey County Council, Tarmac and Whitbread plc.
PMF collects rents and service charge payments for a variety of landlords. When bad debts arise, we introduce recovery processes involving liaison with our corporate property management surveyors, the client and the client’s solicitors. Clients include: Costa, WH Smith, Siemens and Whitbread plc.
Job description
This role is required to provide a high level of administrative support to the PMF team who have an increased workload due to new clients. The role will deal with day to day administrative tasks as well as assisting the Accounts Assistants with data entry.
Main responsibilities
This role will be required to ensure the timely, accurate and controlled processing of transactions, operating within the Royal Institution of Chartered Surveyors (RICS) regulatory framework.
• Interrogating bank accounts, ensuring monies are recognised to the correct client account in a timely manner.
• Ensure the timely posting of transactions into accounting system. Liaising with other team members and surveying staff as necessary.
• Processing of a high volume of transactions for and on behalf of clients.
• Preparation of monthly bank reconciliations for 50+ client bank accounts
• Preparation of payment files uploading into the banking system
• Ensuring compliance with the RICS regulatory framework.
• Liaising with the Corporate Property management team members about any client payment/accounting issues in a timely manner pre-empting queries before they arise.
About you;
• Experience working in a Cashier, Treasury Assistant or Accounts Assistant type role
• Prior relevant hands-on property management accounting experience is desirable
• Experience of using computer-based accounting systems, Yardi is advantageous
• A total commitment to client service
• Part-qualification e.g. AAT would be desirable
• Must be numerate, have an eye for detail and have communication skills, both in writing and on the telephone – particularly important when dealing with clients.
• Good spreadsheet (Excel) and IT skills.

Working hours
The normal hours for the office are 0900hrs to 1730hrs, Monday to Thursday, with one hour for lunch; every other Friday 08.30hrs – 16.30hrs with 45 minutes for lunch/ second Friday 08.30hrs – 13.30hrs (with no lunch).
This position also involves some out of hours working on an ‘as necessary’ basis e.g. during our annual billing period and at month end.
